Privacy policy
This policy explains how personal data is processed on the Elele website and app, provided by Elele.
Scope and roles
This policy covers two things: the marketing website (this site) and the community management app. For visitor data on this site, Elele is the data controller.
In the app, a community’s member records (membership, dues, receipts, resolutions, aid records) are kept by that community. As a rule, the community itself is the data controller for these records; Elele processes them on the community’s behalf and on its instructions. For your account details (phone number, password, session), Elele is the data controller.
Data processed on this site
The site is static: there are no accounts, forms or newsletter sign-ups, and it sets no cookies.
The site’s hosting provider keeps technical connection logs, such as IP address, browser details and the page requested, to serve the site and prevent abuse.
This site does not run visitor analytics; no statistics service is loaded.
The “Create a community” and “Log in” links to the app carry campaign tags (UTM) that show which page the visit came from; these tags contain no personal data.
If you email us, your name, email address and message are used only to answer your request.
Data processed in the app
When you use the app, the following groups of data are processed:
- Account: name, phone number, password (stored in a non-reversible form), session details.
- Membership: community, role, membership date and status; contact details where the community allows it.
- Financial records: dues, collections, receipts, expenses and ledger entries; for card payments, the result returned by the payment provider (card numbers are never stored by us).
- Governance and communication: meetings, attendance, resolutions, polls, posts, comments, messages and notifications.
- Aid records: need records and attachments; recipient details are open only to authorised roles.
- Depending on the modules a community turns on: family network details, photos and documents.
- Technical: device and app version, sync records, security and audit trails.
Purposes and legal bases
Data is processed to provide the service, keep the community’s records, keep the service secure and meet legal obligations. The legal basis for each purpose is shown separately in the privacy notice inside the app. Processing based on explicit consent (such as optional notifications) is asked for one by one in the app and can always be withdrawn.
Who is it shared with?
Personal data is never sold or shared for advertising. It is shared only with the service providers needed to run the service:
- Hosting and content delivery: Cloudflare (website and network infrastructure).
- The hosting provider for the app server and database.
- For communities that take card payments, the payment provider.
- Competent public authorities where the law requires it.
Where data is kept, and for how long
The community’s records are kept on the server, with a copy on the device you use so that you can work offline. Connections are encrypted in transit (HTTPS).
Data is kept for as long as the purpose requires and for statutory retention periods. In records that must be kept by law (receipts, resolutions, attendance lists), the name of a person who deletes their account is pseudonymised; other data is deleted.
Your rights
You have the right to know whether your personal data is processed, to ask for information, to have it corrected or deleted, to object to processing and to receive a copy of your data. In the app you can download your data and delete your account yourself.
You can apply from My account › Settings › Privacy in the app, or by email to icodar@gmail.com. Requests about records your community keeps are also passed to your community’s board.
Children
The app is designed for adults. If a community (a sports club, say) records members under the age of majority, the community is responsible for doing so with a parent’s details and consent.
Changes
When this policy changes, the current text is published on this page and the “Last updated” date is refreshed. We also announce significant changes inside the app.
