TOOL

Dues and shared cost calculator

Enter your yearly and monthly shared costs and work out dues per member or unit, by headcount or by share, with an instalment plan, in your browser.

1. Shared costs

Enter each cost with its monthly or yearly amount; empty lines are ignored.

Optional; enter 10 to add a reserve of 10% of the yearly costs.

2. How is it shared?

The number at the end of each line is the share; you can put a name before it. The sharing key is set by your management plan or statutes.

3. Collection plan

Optional; if set, the schedule shows month names.

For display only; no exchange rates are applied.

Amounts are always rounded up, so the fund never falls short.

METHOD

How it works

The tool splits a year of shared costs across members or units and divides it into instalments. You can do the same calculation on paper:

  1. Find the yearly cost. Multiply monthly items by 12, take yearly items as they are, and add them all up.
  2. Add a reserve (optional). Add a percentage of the yearly cost for unexpected expenses. The result is the total needed per year.
  3. Split it.
    • Equal split: divide the yearly total by the number of members or units.
    • Proportional split: divide each unit’s share by the sum of all shares (e.g. 24 / 96 = 25%) and multiply by the yearly total.
  4. Divide into instalments. Divide the yearly amount per unit by the number of instalments (12 for monthly, 4 for quarterly).
  5. Round up. Round each instalment up to the step you choose (cents, whole number, multiple of 5 or 10) so the fund never falls short. The small surplus at year end can go into the reserve.

Illustrative example

The amounts in this example are illustrative.

Take a building with 24 flats: cleaning costs 6,000 a month, common-area electricity and water 1,500 a month, lift maintenance 9,600 a year and insurance 4,800 a year.

Step Calculation Result
Yearly cost (6,000 + 1,500) × 12 + 9,600 + 4,800 104,400
Reserve (10%) 104,400 × 0.10 10,440
Total needed per year 104,400 + 10,440 114,840
Per flat per year 114,840 ÷ 24 4,785
Monthly instalment 4,785 ÷ 12 = 398.75 → rounded up 399
Rounding surplus 399 × 12 × 24 − 114,840 72

Split by share instead, a shop with a share of 48 out of 96 carries half the total and pays 57,420 a year; a flat with a share of 24 pays 28,710.

What it does not do

  • No currency conversion. The currency setting is for display only.
  • It does not decide the sharing key. Which costs are shared equally and which by share depends on your management plan, statutes and the applicable law. This tool is not legal advice.
  • No late fees, discounts or exemptions. Record those separately, as your community decides.

Your data

The calculation runs in your browser; nothing you enter is sent to a server or stored. To keep the result, use Copy result or Download CSV.

Instead of redoing the plan by hand every period, set it up as a dues plan in Elele: charges, collections, numbered receipts and reminders then follow on their own.
